# Push to CRM from Anywhere

> Send a record to your CRM right from search results or a profile. No list needed.

Found the right account or contact? Push it to your CRM from where you are. You don't need to add it to a list first.

> [!NOTE]
>
> Your CRM has to be connected before anyone can push. That's a one-time admin setup. See [Connecting Your CRM (Admin Setup)](/knowledge-base/crm-integrations-getting-started.md).

## Push a record from search

**1. Find the record**

Search Employers, Brokers, Employer Contacts, or Broker Contacts.

**2. Click Push to CRM**

It's on every result, next to **More Actions**.

That's it. BenefitFlow checks your CRM first, so it updates a record that's already there instead of creating a duplicate.

**More Actions** holds the rest, like Ask AI, Find Contacts, Add to List, and Export. What's in it depends on the record type.

Records already in your CRM show your CRM's icon next to their name. Click it to open the record in your CRM.

## Push from a profile

Open an employer, broker, or broker office profile and click **Push to CRM** in the top right.

Broker offices can only be pushed from their own profile, not from search results or the broker's Offices tab.

## What you'll see

A message in the top right tells you how it went.

| Message | What happened |
| - | - |
| **Added to** your CRM | The record wasn't in your CRM, so BenefitFlow created it. |
| **Updated in** your CRM | The record was already there, so BenefitFlow updated it. |
| **Already up to date** in your CRM | Nothing changed, so nothing was written. |

When a single record is added or updated, click **View in** your CRM on the message to jump straight to it.

Which fields get written, and whether existing values get overwritten, comes from your admin's field mappings. It works the same way as pushing a list. See [How are BenefitFlow fields mapped to your CRM fields?](/knowledge-base/crm-integration-overview.md)

## Push several at once

Check the boxes on the records you want, then click **Push to CRM** in the bar at the bottom of the page.

* You can push up to 500 records at a time.
* Pick records one by one. Select all isn't supported for pushes.
* To push a larger set, [add it to a list](/knowledge-base/how-to-sync-to-your-crm.md) and sync the list.

## Pushing contacts

**Locked contacts.** Pushing a contact you haven't unlocked yet unlocks it first, which uses 1 credit. Hover over **Push to CRM** to see a reminder. Contacts anyone on your team has already unlocked push without using a credit.

![Hovering Push to CRM on a locked contact shows: Pushing this contact unlocks it, which uses 1 credit](https://mintcdn.com/benefitflow/Zu5fM7f9uTGojBhv/images/push-anywhere-credit-tooltip.png?fit=max\&auto=format\&n=Zu5fM7f9uTGojBhv\&q=85\&s=ed9d992baeaf5d94b9481c52f366945a)

**Contacts without an email.** BenefitFlow matches contacts by email. If we don't have one, **Push to CRM** is grayed out.

![Grayed-out Push to CRM with the hover message: We don't have an email for this contact, so we can't match them in your CRM](https://mintcdn.com/benefitflow/Zu5fM7f9uTGojBhv/images/push-anywhere-no-email.png?fit=max\&auto=format\&n=Zu5fM7f9uTGojBhv\&q=85\&s=857862eca0cd77cd0fc0a01a5d2dab32)

## How records connect in your CRM

* **Contacts** are linked to their company. If the company isn't in your CRM yet and we have its website, BenefitFlow adds it in the same push. If your CRM creates new people as Leads, they aren't linked to a company.
* **Broker offices** are created under their parent broker. If the parent isn't in your CRM yet, BenefitFlow adds it in the same push. If the parent can't be added, the office isn't pushed.
* **Employers** aren't linked to their broker office automatically. To set that up, see [Linking Employers to Their Primary Broker Office](/knowledge-base/crm-employer-broker-linking.md).

## If a push fails

If your CRM rejects a record, nothing is written for that record and the message tells you why. Other records in the same push still go through. Fix the issue, then click **Retry**.

![Message reading 1 record didn't push, with the reason and a Retry link](https://mintcdn.com/benefitflow/Zu5fM7f9uTGojBhv/images/push-anywhere-failed-toast.png?fit=max\&auto=format\&n=Zu5fM7f9uTGojBhv\&q=85\&s=e423d3084a702445197392ef40c1cba4)

| What you see | What to do |
| - | - |
| "Your CRM's duplicate rules blocked this record because it may already exist there." | Find the existing record in your CRM, or ask your CRM admin about the duplicate rule. |
| "Your CRM requires \[field], and we don't have it for this record." | Fill in the field in your CRM or ask your admin to change the requirement. |
| "Your CRM rejected this record. Check your CRM's required fields and validation rules, then retry." | Ask your CRM admin which rule blocked it. |
| "This contact's company isn't in your CRM yet, often because it has no website for us to match on." | Add the company to your CRM, then retry. |
| "Your CRM connection expired. An admin needs to reconnect it in Integration Settings." | Ask your BenefitFlow admin to reconnect. |

Every push shows up in your CRM's **Activity Log** in Integration Settings. Filter **Source** to **Sync from Search** to see pushes from search and profiles, including any errors.

## Why is Push to CRM grayed out?

Hover over the button to see the reason.

> **No CRM connected yet**
>
> Your team hasn't connected a CRM. Admins can connect one in Integration Settings. Everyone else, ask an admin.

> **You don't have permission to push**
>
> Your admin controls who can push and whether you can add new records, update existing ones, or both. If a record is already in your CRM and you can only add new ones, the hover says so. Ask your BenefitFlow admin for access. See [Configuring sync permissions](/knowledge-base/crm-integrations-getting-started.md#configuring-sync-permissions-optional).

> **No email or website on file**
>
> BenefitFlow matches contacts by email and companies by website. Without one, we can't check your CRM for an existing record, so the push is blocked to avoid duplicates.

> **The contact is on your do-not-contact list**
>
> Contacts on your do-not-contact list can't be pushed.
